Please note that by filling out this form, you are not guaranteed to get a space for the time/date requested. All applications must be approved by Ancillary Services and Facilities. Additional information may be requested. Please allow at least one week for your request to be reviewed and approved.

Food and Alcohol Services

IMPORTANT DISCLAIMER: If food is being served and not provided by TRU Food Services, the Certificate of Insurance (with TRU named as additional insured) must be obtained from the food provider as well as their permit from Interior Health to provide food services on TRU Campus. All external food service providers must be approved by Robyn Hollas (rhollas@tru.ca).


If the intent is to serve alcohol, the Dean or Chair of the department overseeing or sponsoring the event is to email Robyn Hollas (rhollas@tru.ca) and request a Special Occasion License letter be issued.


Special Requirements

(ie. Power source, tables, chairs, garbage cans, recycling bins, etc.)
TRU Facilities will charge for the delivery and pickup of items based on an hourly rate $30/hour.
Guidelines
  • Submitting this form does not guarantee a booking.
  • Authorized groups must have a copy of their approved permit at their site. Permits are issued for the exclusive use of the permit holder and are not transferable.
  • Campus Security will be authorized to remove any groups not approved for space utilization.
  • Usage of outdoor space that contravenes these or other TRU policies will be removed from the area. Activities harmful to the enjoyment of the common area space — loud music, disorderly conduct, etc. — are not permissible.
  • TRU reserves the right to make changes for special events (ie. student elections, conferences, convocations, etc).
  • TRU reserves the right to refuse space to any groups not adhering to these guidelines.
  • External groups approved by Ancillary Services will not be in conflict with the goals and objectives of TRU and TRUSU.
  • Any damage will be repaired at the expense of the organizer. Please ensure all property and items are used properly and in a respectable manner.
  • Organizer is responsible for the clean-up of the area used. Area should be left in the same condition it was prior to the event.
  • A minimum of one weeks' notice is required for all common area booking requests.
  • Internal TRU groups are responsible for contacting Facilities Services directly to arrange for any special requirements — power source, tables, chairs, garbage cans, recycling bins, etc.

 

Approval needs to be granted by Facilities, Ancillary Services, Risk Management and TRUSU (for student club bookings).
