General Microsoft 365 FAQ

 Where do I sign in to Microsoft 365?

 What devices support Microsoft 365?

Microsoft 365 supports PCs and Windows tablets running Windows 7 or higher, and Macs with Mac OS X 10.6 or higher. It also works on most mobile devices (Apple, Android, etc.) For more info on mobile devices see Microsoft's page.

 

 How do I download Microsoft 365 to my personal computer?

 What happens to my Microsoft 365 account when I graduate/leave TRU?

Please ensure you transfer any important files/emails to your own storage prior to graduation.

 

 I'm not sure about cloud services, is Microsoft 365 secure?

Microsoft 365 is a highly secure cliud service, and an industry standard. This one of the reasons TRU chose it to provide our cloud services. Some of the security benefits include:

  • All data is hosted in Canadian data centers
  • Microsoft, being a much larger oganization than TRU, has a huge team responsible for security and can keep up with the latest technology. This would be much more difficult for TRU with everything being hosted internally.
  • Microsoft provides several services to help TRU keep our accounts secure as well. These include the M365 Security Analytics Center and Microsoft Trust Center
  • Microsoft also provides support for Multi-factor Authentication, which is an excellent way to keep TRU accounts secure.

All of this and more helps ensure TRU's, and your, data is as safe as ever.

 

 If I have purchased a personal version of Microsoft 365, can I get compensated/reimbursed once I have access through TRU?

You will not be reimbursed for your purchase of a personal license for Microsoft 365. However you will still have access on your personal device to both accounts as normal.

 

 How many devices can I use my Microsoft 365 account on?

You may install Microsoft 365 on as many applications as you wish using your account, however you may only be logged into a maximum of 5 at one time.

 

 How can I see which devices my Microsoft 365 account is logged in/installed on?

First, log into Office 365. Then, click on your avatar in the very upper right corner of the screen. Click My Account, then click Install Status. You will see how many licenses are in use for your account and on which devices the licenses are installed

 

 

Teams FAQ

More information on Teams can be found here on our dedicated page. (Note some of the information there may be more relevant to staff than students).

 How do I login to Teams?

Teams can be accessed via the web here. Using it regularly is best done from the app however, which can be downloaded to your local device. Login either way once you have registered for your free Microsoft Office 365 account.

 Can I create a new Team as a student? If not, how can I create groups?

TRU currently plans for students to be able to create Teams for group collaboration and other uses. An app is currently being developed to help with this and ensure that the Teams are setup correctly. Keep an eye out for more information.

 

 How do I change the theme/get to settings?

Click on your own avatar icon on the top right and select the cog (settings) and change the theme from there. From here you can change the view as well as the theme. 

 

 How do I pin Teams/Channels?

If your view is set to List and not Grid under the Teams tab, you can right click on a channel and select “Pin” to move it to the top of the “Your Teams” section.

 

 How do I create a new chat?

Just to the left of the search button, above the chat window is the “New Chat” button

 

 How do I create a chat with more than 1 person

Create a new chat and add all the people you want. Otherwise you can enter an existing chat and click the “Add People” button in the upper right corner of the chat window next to Share Screen and Popup Chat Window

 

Outlook FAQ

 If I don't have Outlook installed on my device, how can I access my email?

Thanks to Microsoft 365 using email on the web is easier than ever, just go to Outlook Webmail and sign in with your credentials.

 

 How big of an attachment can I send in an email?

We recommend using OneDrive or Teams for sharing files whenever possible. Using one of these apps reduces the number of copies of the file floating around in everyone’s mailboxes, and is much more secure. However, if an attachment must be sent from your Microsoft 365 mailbox, then attachment sizes up to 150mb are possible.

 

OneDrive FAQ

 How much OneDrive storage do I have?

All users get 1 Terabyte (TB) of storage in their OneDrive folder.

 

 Can I share files with OneDrive and how do I do it?

Yes, OneDrive allows you to share files and folders with staff and students. You can also share files with external contacts but they require a OneDrive account to receive the file.

 How can I tell who I have shared a file with?

Open up OneDrive in your browser and find the desired file. Right click on the 3 dots by the file and select ‘Share’. A new box will open and show people who you are currently sharing the document with.

 

 Can I work on a file in real time with someone else?

Yes you can. This is known as "co-authoring" a document in Microsoft terms. Simply share the file with someone else (through OneDrive's sharing options or through Teams) and once you both have it open you can edit and see each other's edits in real time.

Planner FAQ

 What is Microsoft Planner?

Microsoft Planner is a task tracker that can be used for managing simple projects. It can used on its own, and integrated with Teams. Planner on the web can be found here. Planner allows teams to create, assign, and organize work visually. It facilitates teamwork, shows progress visibility, and task coordination. Microsoft Planner involves creating a plan that is equivalent to starting a project made up of tasks organized into buckets or categories. You can assign each task a label, a deadline, and a team member.

 

 How do I add a plan to an existing team or channel?

Plans are added to a specific channel. To do so, select the channel you want to add a plan to (note you must have the appropriate priviledges to do so within the Team). Then at the top of the page select the "+" icon (likely next to the "Post" and "Files" tabs). From there select the Planner app. It should now appears as a tab at the top of the page.

 

 Can I create a new plan based on an existing one?

You can copy a plan, see the link for how to do so.

 

 Can I print plans or tasks from Planner?

You can't print plans or tasks from Planner currently.

 

 Can a group have more than 1 plan?

Yes, a Team or Channel can have more than plan. Just add another planner task and start planning!
