Part-Time Faculty - PTIC
Part-time Instructional Contracts (PTICs) are used for part-time temporary positions. PTICs are initiated at the coordinator/chairperson level and are signed by the Dean, Director of Human Resources and the instructor. They specify hours to be worked and rate of pay.
Completed PTICs contain:
- personal information, i.e. name, current permanent address, SIN
- course information - name, location, start and completion dates, and total scheduled hours
- instructional hourly or unit rates as established by the chairperson or program coordinator, and based on the instructor's qualifications and the established pay grid. See your supervisor for a copy of your pay grid.
- the labour code where contract costs are charged
- the minimum enrolment to establish the course
- a statement regarding course cancellation if the minimum is not met.
Once the instructor and Dean have signed the PTIC, it is forwarded to the Human Resources office for approval. Copies are then distributed as noted on the bottom of the PTIC. PTICs and timesheets received after deadline dates will be processed the following month. If an employee on a PTIC is eligible for additional remuneration as a result of a statutory holiday, this will automatically be calculated and paid as soon as possible.
PTIC - Summer Session
Completion of data sheets is not required, as summer session contracts are paid on a per course basis.
In order to process payment for a summer session contract, fully executed contracts must be received in payroll by the 10:00 am deadline as shown on the payroll schedule for all Part-Time Instructional Contracts. Contracts received after this deadline will be processed in the following month.
Monthly payments are processed on a pro-rated basis over the contract period.
Payment is made on the last working day of the month.
Direct deposit is available as an alternative to a cheque. Deposit advices will be mailed to the home address of the instructor. If you choose to receive a cheque - they are available for pickup on payday (see regular PTIC schedule) at 10:00 am.
Any cheques not picked up on payday will be mailed to your home address the next business day.
Payroll Data Report (time sheet)
Instructors working on a PTIC must complete a payroll data report each month. To avoid processing delays, please be aware that the payroll data report must contain the following information:
- contract number
- dates and hours of instruction
- correct mailing address
- instructor's signature
Payroll data reports must be received by the Payroll office by 10:00 a.m. on the deadline day. Time sheets received late will be processed the following month. It is the responsibility of the INSTRUCTOR to have the payroll data report to Payroll on time.
Payday is always the last working day of the month, with direct deposit strongly encouraged. Pay cheques are available for pick up between 10:00 a.m. and 4:00 p.m. at the Finance office in the Old Main Building. Any cheques not picked up by 4:00 p.m. on payday will be mailed the following business day.
