Tests and Exams

These procedures ensure that examinations are conducted in a fair manner and in accordance with TRU’s policies on Academic Integrity (ED-5-0) and Examinations (ED-9). Students, invigilators, interpreters, readers/scribes and all individuals assisting with exam accommodation are expected to be aware of, and comply with, these procedures.

Policies

 How to book exams (quizzes, mid-terms and final exams)

Students must be registered with Accessibility Services before booking a test or exam. All students who are newly registered with Accessibility Services must carefully read the AS Exam Guidelines. If, at any time, a student or faculty member has questions about the process they are encouraged to speak with the Exams Supervisor.

 Booking deadlines

The deadline to book quizzes or exams during the semester is one week before your scheduled exam. The deadline to book final exams is three weeks before the last day of classes.

 For quizzes, midterms and final exams
  • Complete the Online Exam Booking Form or print and complete a physical copy of the Exam Booking Form and drop it off at the AS Test Centre. 
  • Keep in mind that the AS Test Centre is open Monday to Friday, 8 a.m. – 5 p.m. during peak times (October and November, & February and March). If your exam extends past 5 p.m., you must request an alternate time (see below) if you wish to write your test with Accessibility Services.
  • Important: tests and quizzes can be booked at the start of the semester based on your course outline but the latest the form can be submitted is one week before the test date.
  • After completing and handing in the booking form, provide your instructor/program contact with a test/exam envelope (at least one week before the test date). Envelopes are available at the AS Test Centre. 
  • If students do not provide their instructor/program contact with an envelope, the exam will not be delivered to Accessibility Services and it will be assumed that they are writing with their class.
 For final exams
  • The latest a final exam booking form can be submitted is 3 weeks before the last day of classes.
  • Keep in mind that during final exams, the AS Test Centre is open Monday to Friday, 8 a.m. - 9 p.m. and Saturday 9 a.m. - 6:30 p.m.
  • After completing and submitting the booking form, provide your instructor/program contact with a test/exam envelope (at least one week before the final exam date).
  • If students do not provide their instructor/program contact with an envelope, the exam will not be delivered to Accessibility Services and it will be assumed that they are writing with their class.
 Incomplete forms and forms received past the deadline
  • Incomplete booking forms will not be accepted.
  • We inform all instructors/program contacts when a test or exam has been booked late so that they are aware that you will be writing with the class and therefore do not need to deliver a test/exam to our office.
  • It is very important that you speak with your instructor/program contact to confirm the duration of your test/exam. Under-booking or over-booking could impact your time allocation or another student’s ability to book their test/exam.
  • If tests/exams are scheduled after Accessibility Services office hours please ask to speak with the Exams Supervisor prior to submitting the booking form.
 Alternate times
  • If the scheduled test/exam time conflicts with another class or with our office hours, students will need to inform Accessibility Services and their instructor as soon as possible so an alternate time can be agreed upon.
  • An instructor’s/program contact's signature approving the alternate time is required if there is no overlap with the class exam start time.
  • To maintain the integrity of the test/exam and to avoid the potential for anyone to pass the information along to other classmates, no student will be allowed to leave the AS Test Centre until 15 minutes after the class start time. Due to this, we recommend that you bring along study/reading materials to pass the time should you finish early.

 For faculty

A student has exam accommodations. What is my role in accommodated exams?

  • The student will provide you with an exam envelope. Please complete the “Instructor” section. Note that “duration” refers to how long the exam is designed to take – not how long you are giving the class to write. If you are including extra time as per universal design, please only indicate how long the exam is designed to take.
  • Deliver the exam in the envelope to the AS Test Centre, Old Main room 1482 between 8 a.m. and 4 p.m. Monday – Friday. Exams can be e-mailed to asexams@tru.ca a minimum of 24 hours prior to the scheduled exam date.
  • Please pick up the exam as soon as possible after it has been written. If you prefer to have Accessibility Services return exams via inter-office mail, please email asexams@tru.ca to make arrangements.
  • Please be flexible in allowing students to write at alternate times when necessary (e.g., exam time falls outside of Accessibility Services’ regular hours).

Accessibility Services is not responsible for lost, stolen, or misplaced exams.
