Interlibrary Loans (ILL) Policies

The Interlibrary Loans (ILL) service makes it possible for TRU students, staff, and faculty to obtain materials that are not held in the TRU Library or are at another TRU campus library to support their research needs. To avoid any delays in the processing of your requests, please familiarize yourself with the TRU Library's policies.
 
Eligibility
  • This service is only available to TRU students, staff, and faculty with a current TRU Library account in good standing.
    • NOTE: Alumni and community members are not eligible to use the ILL services at TRU, but they can access ILL service through the public library.
Materials Provided
  • The ILL department will obtain the following materials: books, microform, microfiche, theses, and videos (only from BC public post-secondary institutions), theses, and periodical articles that are not in the TRU Library collection.
    • Note: We will attempt to obtain books published within the last 12 months, but they are often not available via interlibrary loan.
Restrictions
  • This service is to support research and study at TRU (i.e., TRU-related course work, research, or employment). Please place requests for personal reading materials with your local public library.
  • Items required in less than one week (i.e., 7 days) will not be processed. 
  • Interlibrary loan requests are subject to copyright. Under the terms of the Access Copyright Licence and the Canadian Copyright Act R.S.C. c. C-42 as amended, TRU cannot order:
    • copies that comprise more than 10% of a published work
    • more than one article at a time from the same journal issue
    • Interlibrary loan requests which exceed copyright limitations will be cancelled.
  • There are direct and indirect costs associated with every ILL request, including staff time, mailing costs, and fees charged by lending libraries. The TRU Library absorbs these costs for its students, faculty, and staff, but will only pay up to $25 per item.
Cancelled Requests
  • ILL requests will be cancelled if:
    • the request is for material that the TRU Library does not request via ILL. These include:
      • items already in TRU's collection (even if currently in use) (exception: requests for items from other TRU campus libraries)
        • If the item is checked out to another user, please place a hold on the item in the catalogue.
      • entire volumes or issues of a journal or magazine
      • materials intended for reserve
      • reference works
      • textbooks
      • sound recordings
      • rare, valuable, or fragile items
      • videos/DVDs which are not available from a BC public post-secondary institution
    • there is insufficient time to fill the request (e.g., item required in less than 7 days)
    • the library is unable to locate the item at any Canadian or American Library
    • the request is incorrect or incomplete
Delivery Time
  • Please allow up to 3 weeks for materials (especially books) to arrive. It usually takes approximately 3 working days for articles to arrive.
  • The length of time it takes to receive requested materials varies depending upon several factors. These include:
    • accuracy of the citation supplied on the request form
    • response of the lending library
    • method of delivery
  • TIP: Start your research early enough to allow time for ILL items to arrive and for you to use them.
Notifications
  • When the item arrives at TRU (or if your request is cancelled), you will be notified by email, using the email address that was submitted with your request.
Loan Length & Overdue Fines:
  • Loan length for Interlibrary loan books: TWO weeks with NO RENEWALS.
    • Note: The loan period begins on the date that the email notifying you that the item has arrived at the TRU Library, so be sure to pick your item(s) up promptly.
  • The overdue fine for non-TRU material is $2/day per item.
Picking Up ILLs
  • Kamloops & Williams Lake Students: Please bring your campus ID card to the Circulation Desk to collect your ILL item(s).
  • Distance, Regional & Open Learning: Item(s) will be sent to you according to the selected delivery instructions (i.e., courier, fax, or pick-up in person).
  • Kamloops & Williams Lake Faculty: Item(s) will be sent via interoffice mail during the academic year (September-April). During the summer months, please bring your campus ID card to the Circulation Desk to collect your ILL item(s).
Theses & Dissertations

Returning Materials
  • ILL books/videos must be returned to the Circulation Desk or, for students/faculty at a distance, to the DROL department by the due date.
  • Fines will be levied for materials returned after the due date ($2/day).
  • Please remember that the TRU Library is borrowing material on your behalf. If the material is returned late, the TRU Library may lose its borrowing privileges with the lending institutions for everyone else and you may lose your ILL borrowing privileges.
Lost or Damaged Material
  • If you lose or damage material acquired via interlibrary loan, you will be responsible for paying any replacement charges and processing fees.
Recalled Materials
  • If the lending library recalls material before the assigned due date, you will be notified of the new date and must return the material by the new date specified or incurr overdue fines.
