Managing GroupWise Mailbox Size

  1. Search for all "Suspected Junk Mail" in your account and delete it if it wasn't marked "junk mail" in error

1) How do I check how much space I've been allocated on GroupWise and how much space I'm currently using?

Select Tools from the "File, Edit, ..." menu and "Check Mailbox Size..."

Note: If this option is not available you have an older GroupWise client and should contact the helpdesk to find out how to upgrade.

The following screen will appear showing you your current mailbox size, maximum storage limit, and percentage of your mailbox used.

You can see the percentage of your mailbox used whenever you are using GroupWise by checking the mailbox size at the bottom of the GroupWise window.

2) What happens when I exceed 90% of my maximum storage limit?

When you go to send a new message the following warning screen will be displayed.

If you click on "Cleanup..." you will be taken "Mailbox Storage Size Warning" screen where you can reduce the size of your mailbox.  For more information on using the "Mailbox Storage Size" tool to clean up your mailbox see below.

3) What happens when I exceed 100% of my maximum mailbox storage limit?

Once you've exceeded 100% of your mailbox limit you won't be allowed to send new messages.  If you try to send a message you will be immediately taken into the "Mailbox Storage Limit" tool.

If this happens follow the suggestions below to reduce your mailbox size.

4) How can I reduce the amount of space I'm using?

There are several items you should be aware of before deciding to use and archive or to archive a particular message:

  1. Archived messages are stored on your local hard drive and can only be accessed when you are working on that PC.   Access from other PCs either through the GroupWise Client or the web interface is NOT possible.
     
  2. If you have a hard drive failure or you accidentally delete the archive you will be unable to access your archived messages unless you have backed them up.  A good way to back them up is to copy the archive onto a writeable CD and then store the CD in a safe location.
     
  3. If you receive a new PC be sure that your archive is backed up and moved to the hard drive on your new PC.

Your archive now exists in C:\GWArchive.

The message will be removed from your mailbox on the GroupWise server and placed in your archive on C: drive.

v) Why can't I search for messages in my Archive?

You need to be running a GroupWise 6.5 client.

vi) Why can't I see "sent" messages that I've archived?

You need to be running a GroupWise 6.5 client (see item "v").

d) Use the "Check Mailbox Size..." tool to:

Select Tools from the "File, Edit, ..." menu and "Check Mailbox Size..." to access this tool (see item #1 above).

i) Search for large "sent items" and archive or delete them

Often you send items with large attachments that you already have stored in another location (e.g. C:, F:, or G: drives).  You can use this method to quickly find these messages and delete or archive them.

To store an attachment before deleting the message open the message and right click on the attachment.  Select "Save as.." and then the location to store the attachment.
