TRU E-Communication
E-Communications provides a method of sharing information between staff and faculty at TRU electronically. In the past this had been done with e-mail distribution lists. It is up to everyone to decide whether or not you regularly view these folders, but this is where most information is shared.
Shared folders increase speed and responsiveness in the GroupWise system (approximately 500,000 less e-mail messages will need to be delivered every month than using e-mail distribution lists), better use of storage space in GroupWise, and less clutter in each user's mailbox.
For those contributing information to these folders, it is best to send your message to one of the following targeted groups, to ensure the message will gain the desired audience viewing. We recommend not sending to all groups if you are sending to staff@tru.ca as your message will be duplicated.
Largest Audience
If you want your message to go to the staff folder list to be viewed by all TRU employees – send the email to staff@tru.ca
Specific Audience
If you want your message to go to the faculty folder list to be viewed only by TRU Faculty – send the email to faculty-l@tru.ca
If you want your message to go to the CUPE member folder list to be viewed only by TRU CUPE employees – send the email to cupe-l@tru.ca
If you want your message to go to the Admin folder list to be viewed only by TRU Administrative employees – send the email to admin-l@tru.ca

Accepting a Shared Folder Invitation using an IMAP E-Mail Client or other E-Mail Clients
Unfortunately you are unable to accept a shared folder in an IMAP E-Mail Client or other E-Mail Clients. To accept the folder log in using the GroupWise web client (http://gwweb.tru.ca) and click here for instructions. The IMAP client will also need to resynchronize folders before you are able to see the new shared folder.

Why can't I delete messages in the shared folder? If I can't who does?
Many users have access to the same shared folder which is pointing at a single message. If you had the ability to delete this message it would be deleted from the shared folder and no one would be able to see it - even users who hadn't yet read the message. You do have the ability to mark messages as read so that you know which ones you have read or are not interested in reading.
The person who manages the shared folder removes old or inappropriate messages from the shared folder.
Do messages in the Shared Folder count against your GroupWise disk quota?
Messages in shared folders do not count against your GroupWise disk quota.
How do I post a message in the shared folder?
Look for a message in the shared folder called "Welcome to the ... List". This message will contain information on how to post a message to the list. Usually you send a message to a special e-mail address.

Who maintains the shared folder?
Look for a message in the shared folder called "Welcome to the ... List". This message will contain information on who maintains the shared folder.

The user who maintains the folder is responsible for:

removing or archiving old messages

removing inappropriate messages

adding and removing users from the shared folder
How do I save (forward) a message from a shared folder?
There are two methods to do this.
1) Reply Method
If the message doesn't contain any attachments you want to keep open the message and "reply privately (outside discussion)". Be sure to check "include message received from sender". Delete the original users e-mail address from the "To:" box and enter your own e-mail address and send the message to yourself.
Note: If you use this method any attachments the message had will be lost. Method #2 retains the attachments.




2) Attachment method
If you need to save the entire message including attachments start a new e-mail message with your e-mail address in the "To:" box. Drag the message you wish to keep out of the "ECom Staff List" folder and into the attachment box of the new message and send the message to yourself.
