Process Change - July 2009 - How do you get your staff/faculty Novell/GroupWise/myTRU accounts
As part of the implementation of Banner for HR and Payroll through Project SAGE, TRU is aligning our business practices with the concept that Banner is now the single "Authoritative Source" for all TRU employees. This is an important step towards implementing Identity Management that ensures a single unique identity for each employee, securely protecting personal and sensitive information and ensuring that only appropriate secured access is granted to view that information.
This means that all new employees (including Visiting Scholars and Adjunct Professors) will make an appointment with HR prior to, or on their first day to ensure that the necessary information is in place to create an electronic job record in Banner. Until that electronic job record exists as the source for the Employee Identification, no computer access can be issued to the new employee. HR is currently working on improving their process to assist managers to have their new employees provide the required information to HR in advance of the new employees first day on campus.
Once an employee has an electronic job record in Banner, the necessary information is in place to create employee computer access. This process may take up to five days to complete and will provide the following computer accounts:
1. TRU GroupWise email account,
2. TRU Novell ID to log in to the network including a personal drive (F:) and public network drive (P:)
3. myTRU account for employee self-service (Time sheets, WebReq's, Pay cheque stubs)
The new employee should contact the IT Service Desk at 6800 for account information after the two days have passed.
Responsible Use Policy:
It is important that the new employee read and
understand the Responsible Use of IT Facilities and Services Policy.
An Applications and Systems Access Request (ASAR) form is still required to gain access to other specific network drives and applications.
Requests for computer equipment and telephones should also continue to be sent to the ITServiceDesk@tru.ca
