Applications and Systems Access Request (ASAR) Form

One paperless form for all access requests

The ASAR form for employees, contractors or other non-employees and workstudy students are completed by a TRU employee and/or Manager, Supervisor, Dean or designate to grant network shared drive access, shared mailbox access, as well as for access to specific applications and/or systems required to carry out their work. 

New employees are provided with an email, network and myTRU account once new-hire paperwork has been processed by Human Resources/Payroll. More information regarding account details, computer and telephone requirements can be found here.

Responsible use policy

It is important that the employee or non-employee signs/acknowledges they have read and understand the Responsible Use of IT Facilities and Services Policy provided by the hiring Supervisor, Manager, or Dean.

The document, applications available through ASAR, provides information that will assist you in completing the ASAR form. Also included are other applications available that are not listed on the form.

ASAR form

  • A TRU employee must complete the ASAR for a contractor or other non-employee.
  • If prompted for authentication, please use your network account login credentials.
  • Please refer to the ASAR Quick Guide for assistance.
  • When the form is submitted, an email is sent to the "approver" (supervisor/manager/dean). The email will contain a hyperlink to a task list containing the ASAR form(s). Instructions for the approver are also located at this task list page.

ASAR Form

Work study or teaching assistants — staff accounts

Currently Work Study Network access is only provided if there is an end date on the form. The Network account will be cancelled at the end of the term. Supervisors can request other access such as O:\drive, Banner, etc. on the ASAR.

Managers/supervisor’s approval

Once the form is submitted to the Supervisor for approval, he/she will review the requested Application/System accounts and acknowledge that these are part of the job requirements and will ensure that the Responsible Use of IT Facilities and Services Policy has been/will be read and understood by the applicant.
