Common Area Booking

TRU has three outdoor common areas that are available to book for a variety of activities and events:

The Campus Commons

is centrally located in the heart of the campus surrounded by the International Building, Arts & Education, Campus Activity Centre, and the House of Learning. With a combination of flat hard surfaces and rolling green space it’s the perfect place to host your next event.

The Campus Courts

area is conveniently located outside Old Main and features two full-sized multi-sport courts, a flat paved area and ample green space. Courts must be individually booked for events.

The Campus Greens

is the beautifully manicured green space between the Clock Tower and Old Main. This space is perfect for group activities like bocce, and social gatherings.

Completing this form does not guarantee space availability for your requested time/date. All applications require approval from the Responsible Use of Space Coordinator, and additional information may be required. Please allow a minimum of one week for your request to be processed and approved. Please include as much detail as possible as it will assist in the approval process.

Food and Alcohol Services

Food: If you are planning to serve food at your event, we highly recommend using our onsite catering services. TRU Catering has a talented team that can assist you in designing the perfect culinary experience for your theme and budget. They also take care of the pre and post event setup and cleaning, leaving you more time to relax and enjoy your event. 


Alcohol: TRU Catering is also able to provide cash and host bars for your event, details can be found in their catering menu

IMPORTANT DISCLAIMER: If non-TRU Food Services are serving food, they must provide a Certificate of Insurance with TRU named as an additional insured, and their Interior Health food service permit. All external food service providers must be approved prior to.

If non-TRU alcohol services will be provided, the Dean or Chair of the overseeing department must obtain approval to apply for a Special Event Permit


Special Requirements

(ie. Power source, tables, chairs, garbage cans, recycling bins, etc.)

 TRU Facilities does not charge for labor if the event/booking is during working hours (7 am – 2:30 pm, Mon – Fri). If assistance is required outside those hours, the rate for setup and/or delivery is $56.28/hour per person. It is the responsibility of the booking group to request these items, Staff and Faculty can do this through an Archibus Request, students please use the Student Request Form.

Guidelines

  • Submission of this form does not guarantee a booking.
  • Approved groups must have their permit/confirmation on site; bookings are non-transferable.
  • Unauthorized groups, or non-compliant space users will be removed by Campus Security; disruptive activities (e.g., loud music, disorderly conduct) are not allowed.
  • TRU may make changes for special events (e.g., elections, conferences, convocations).
  • TRU reserves the right to deny space to non-compliant groups.
  • External groups approved by Ancillary Services must behave in a manner that aligns with the Universities values.
  • Organizers are responsible for any damage, and property should be used respectfully.
  • Clean-up is the organizer's responsibility, restoring the area to its original condition.
  • One week's notice is required for common area booking requests.
  • Internal TRU groups must contact Facilities Services for special requirements (e.g., power, tables, chairs, bins). Staff and Faculty can do this through an Archibus Request, students please use the Student Request Form


 

If your request requires a risk assessment, it will need to be reviewed and approved by Facilities, Ancillary Services, Risk Management and TRUSU (for student club bookings).
